Role Objectives

​Support the Finance & Administration Manager through the maintenance and updating of financial & statistical records, order/invoice progression and retail sales reports.


​Responsibilities include:

  • Operation of on-site Voyager accounting system and maintenance of associated records and files.

  • Administer Purchase Order inbox creating purchase orders as requested, obtain authorisation and record on Purchase Order Monitoring Log.

  • Ensure all purchase orders are filed appropriately.

  • Ensure that invoices have been approved and analyse to correct budgetary cost codes and schedules.

  • Batch invoices recording appropriately and scan to JLL accounts team recording batch numbers in invoice log.

  • Deal with customer queries regarding purchase orders and payments.

  • Maintain and reconcile Marketing and Commercialisation budget liaising with Marketing and Commercialisation team.

  • Provide cover for other Finance Assistant in periods of absence

Retail and Customer Focus

  • Gain confidence of centre retailers to secure their co-operation and participation in production of DSA reports.

Brand Enhancement

  • Ensure that the Queensgate brand is maintained throughout all documentation to the highest level.

  • Ensure all activities work towards building a retail brand which is unique, vibrant and aspirational and reflects the corporate values.

  • Consistently exceed customer expectations and deliver long term, sustainable customer satisfaction both internally and externally.

  • Satisfy customer expectations of value by understanding the relative importance they place on quality of services and facilities.

Health, Safety and Security

  • Participate in emergency situations, including fire and bomb incidents.

  • Take reasonable care for the health and safety of yourself, colleagues and the general public who may be affected by your acts or omissions at work.

  • Familiarize yourself with and comply with the company’s ‘Health and Safety’ and ‘Fire and Bomb’ procedures.

  • Highlight Health and Safety or maintenance issues and follow them up.

  • Co-operate with the Company so far as is necessary to enable the company to comply fully and at all times with its legal duties regarding health, safety and welfare matters.

  • Familiarize yourself with the Company’s Health and Safety Policy and comply fully and at all times with the Company’s health, safety, welfare and fire arrangements.

  • Report immediately all accidents involving injuries and illness verbally to your Line Manager and a First Aider and make, or have made on your behalf, an entry in the Company’s Accident Book.

  • Never interfere with or misuse anything provided in the interests of health, safety or welfare.

  • Never use any machinery, work equipment, dangerous substance, transport equipment, system of work or safety device unless you have been authorized to do so and then only in accordance with any training received by you and any instructions provided to you.

  • Never perform work you are not qualified to do or have not been properly trained for.

  • Inform the Company immediately of any work situation which you reasonably consider represents a serious and immediate danger to health and safety or represents a shortcoming in the Company’s arrangements for health and safety.

  • Report to the Company any medical condition you have and any medication or substance you are taking which could affect the safety of yourself or others.

  • Seek medical treatment for all injuries you sustain (no matter how slight they appear).

  • If required ensure an Accident Report Form is submitted.

  • If required, co-operate fully and promptly with any accident investigation carried out by the Company.
